About
When using Virtru to encrypt emails and/or files, unique secure "policies" in Virtru are created to align with each unique email and file. A "policy" controls who has access to content and how they can interact with that content. After those secure policies has been sent/shared, the sender can review metadata for that content and manage access permissions within the Virtru Control Center's My Data page. This page does not include actual message or file content.
This guide will walk through reviewing policy metadata on the My Data page.
For managing access to those policies, users can reference Managing Emails and Files in the My Data Page.
Tab Overviews
The Email tab provides a list of all sent secure emails.
At the top level, the following details about the secure emails are included:
- Subject Line
- Authorized Users (if multiple, users may need to expand the field or select the email for more details)
- Date: Date sent (in UTC)
- Availability (whether the email can be accessed or if it has been revoked)
- Read (Percentage of recipients who have accessed the secure email)
Secure Share
The Secure Share tab provides a list of all Secure Share "collections." A "collection" is one share session. It may include multiple recipients and multiple files.
Note: The Secure Share tab is not the same as the History page on the Secure Share site. The Control Center does not include inbound shares or direct links to files.
At the top level, the following details about the Secure Share collections are included:
- Recipients (if multiple, users may need to expand the field or select the collection for more details)
- Availability (whether the email can be accessed or if it has been revoked)
- Accessed (Percentage of recipients who have accessed the secure email)
File
The File tab provides a list of all secure email attachments, secure files in Drive, and/or files shared via Secure Share. Organizations with Secure Share will also see "metadata.json" files which correlate to Secure Share collections.
At the top level, the following details about the secure files are included:
- Subject Line: File name
- Authorized Users (if multiple, users may need to expand the field or select the collection for more details)
- Date: Date sent (in UTC)
- Availability (whether the email can be accessed or if it has been revoked)
- Accessed (Percentage of recipients who have accessed the secure email)
Service
The Service tab provides Google CSE customers using a Virtru Private Keystore a list of secure policies related to their CSE content.
Metadata Definitions
For additional details about a specific policy, click on the policy.
This will bring up additional metadata (users may need to scroll down to view all of the fields).
Policy metadata includes:
- Policy Title
- Email tab: Email subject
- Secure Share tab: Collection creation date
- File tab: File title
- Service tab: Unique Google ID
- Policy ID: Unique Virtru ID for the policy
- Created By: Sender's email address
- Created On: Date sent (in current user's local time)
- Updated On: Last time any access modifications were made (in current user's local time)
- Security Settings: Additional security settings applied to the message
- Recipients: Current authorized users
- Access Revoked: Any users whose access has been individually revoked
- Attachments: List of secure attachments included in the email or Secure Share collection
- Allowed Users (not seen for Secure Share collections): List of users who have been added to the secure policy
- If the email was forwarded, new recipients will be indented and listed under the user who forwarded the email
- If an individual user's access was revoked, their email address will be crossed out and in red
- If the email was forwarded, new recipients will be indented and listed under the user who forwarded the email
- Validation Report (Email metadata only): A list of any Security Rules that triggered and any action taken
