Upon hitting the 'Send' button, you may occasionally see Virtru automatically move to the On position and encrypt your email - even though you had set encryption to Off. If you do, it's likely because your administrator has configured some DLP (Data Loss Prevention) rules to automatically encrypt emails based on their contents. Please contact your Virtru administrator to find out what content will trigger these rules. If you are the administrator, you can review your rules in your Virtru Dashboard on the Rules page.
If you're finding that automatic encryption is triggering on every email you send, there are some common culprits:
- Possibly Sensitive. This rule searches for a wide range of number patterns, and is most often triggered by a phone number. If you have a phone number in your signature, this rule will trigger on every email you send. For most organizations, we recommend this rule be set to "Ignore".
- Confidential. The "confidential" rule searches your email for the word "confidential". This word turns up frequently in most organizations' legal disclaimers, automatically added to all emails - thus causing the rule to trigger on every email as well. If your organization has such a disclaimer, you'll need to disable the "confidential" rule. Your admins can then create a custom rule to search for all instances of the word "confidential" except for in the context of your disclaimer. That rule will look like this:
If Email Body matches pattern (confidential(?!( ######))
Then [Desired Action]
In the example above, "######" represents the word or phrase that follows the word "confidential" in your legal disclaimer. Note the space preceding the contextual phrase. For example, if your disclaimer contains "confidential health information subject to HIPAA", your rule would look for the pattern (confidential(?!( health information subject)).
